This Privacy Policy sets out the Terms of Use on which your personal data which you provide to us when you visit our website, sign up to our newsletters, make an enquiry, hold an event or apply for a job. Please read this page carefully.

Visiting our website

When you visit our website you agree to this privacy policy and our terms of use. Please be aware that from time to time we will update both our privacy policy and terms of use. Please note that our privacy policy and terms of use do not apply to any third party website which may be linked to our site. 

Cookies and Google Analytics

We work with Google Analytics, a web analytics service provided by Google, Inc. Google Analytics uses cookies to collect information about details of your visits to our website (including IP addresses). Cookies are small pieces of information stored by your browser on your computer's hard drive. We do not use any of our own cookies on our website.

Google Analytics provides us with reports based on this information in order to help us understand how visitors engage with our website. Google Analytics will not transfer the information it collects to any third party except where required to do so by law. Please note that we will not use Google Analytics to collect any information from which you can be personally identified, and we will not associate the information provided to us by Google Analytics with your information.

Unless you do this, Google Analytics cookies will be issued when you use our site, but you can delete them via your browser at any time. Your information

We may collect and process information that you choose to provide by filling in forms on our site or by any other method, including post and email. This includes, but is not limited to information about you which is personally identifiable such as your name, address, email address, location and interests. Personal data is any information by which a living natural person might be identified directly or indirectly.

If you contact us for any reason, we may keep a record of that correspondence.

In the sections below we outline the scenarios in which we collect and process your personal data. 

Enquiry form

You may send an enquiry for yourself and provide us with your name, telephone number, email address and postal address. We will process this information so that we can fulfil our contractual obligations to you as a client. Your enquiry record is created in our Customer Relationship Management (CRM) system, Salesforce, and stored securely. We will not keep your details for longer than is necessary. You can change your details at any time by emailing the Venue Hire team at venuehire@ri.ac.uk.

If you contact us for any reason we may keep a record of that correspondence and any information or material you post on our website. We will ensure that we only keep your information for as long as is necessary.

Our newsletters

We may collect and process personal data from you that you choose to provide by filling in forms on our website. You may provide your name, email address, telephone number and interests to sign up to our newsletters to keep you up to date about our work and events. As well as the public and education program, membership and fundraising efforts of the Royal Institution and any topics which we think may interest you. We will process your personal data based on your consent to receiving our newsletters. 

We will store the information you provide securely in our CRM system called Salesforce. We will not keep your details for longer than is necessary. You can change your details at any time by emailing dataprotection@ri.ac.uk

How we store your personal data

We keep your details secure and we will ensure that we only keep your details for as long as is necessary. We maintain appropriate administrative technical and physical safeguards to protect personal data against accidental or unlawful destruction, accidental loss, alteration, unauthorised disclosure or access, use and all other unlawful forms of processing of the personal data in our possession.

You should be aware that any information you post in the public areas of our website, such as on message boards, may be seen, collected and used by others, and may result in unsolicited messages from other users or parties. Unfortunately we cannot control this and you post any such information at your own risk.

How we share your personal data

We will not share your personal data with a third party except when it is necessary to be able to fulfill our obligations. 

Some of the information that we ask you to provide will be submitted directly to a third party service provider which collects and stores information for us and sends out emails on our behalf. By signing up to our newsletters and/or sending an enquiry our CRM system Salesforce will store your data. Our emails are sent via an email marketing software, ExactTarget which is an add-on feature of Salesforce.

We will also share your personal data with a third party if we are under a duty to disclose or share your details in order to comply with any legal obligation, or in order to enforce our terms of use.

We will take all steps reasonably necessary to ensure that any of your details which we share with third parties in the above circumstances are treated securely and in accordance with this privacy policy.

We will not transfer any of your details to destinations outside of the European Economic Area.

Information we collect about you via third parties

You may book tickets for our promotional events online. For online bookings we use a third party, Eventbrite, who will be the data controller in this instance. All personal information provided by you or collected by Eventbrite is governed by Eventbrite's Privacy Policy, a copy of which is located at www.eventbrite.com/privacypolicy. The Royal Institution acts as a data processor and will use your personal data to send you emails relating to the specific event(s) you have booked based on our legitimate interest. 

You may provide post event feedback for your event. For feedback surveys we use a third party, SurveyMonkey, who will be the data controller in this instance. All personal information provided by you or collected by SurveyMonkey is governed by SurveyMonkey 's Privacy Policy, a copy of which is located at https://www.surveymonkey.com/mp/policy/privacy-policy/. The Royal Institution acts as a data processor and will use your personal data to send you emails relating to the specific event(s) you have provided feedback on based on our legitimate interest. 

RIGB occasionally runs events in partnership with other organisations. In this instance we may share your personal data with these third parties, solely for the purpose of providing you with information relating to that event. We will inform you of this, including the name and contact details of the partner organisation with whom we may share your details, at the time of making a booking for such an event.

We have notified the Information Commissioner's Office and we are registered on the Data Protection Register under registration number Z7087010. Our VAT number is 778 5207 91.

Changes

We may amend the Terms of Use and Privacy Policy from time to time, in which case any changes will be published on this page. By continuing to use the site, you shall be deemed to agree to be bound by those changes and revised terms.

Your rights

You have the right to request a copy of the information that we hold about you. If you would like to request such a copy, please contact us at our postal address or by email at dataprotection@ri.ac.uk

You may ask us to correct or remove information you think is inaccurate by contacting us at dataprotection@ri.ac.uk

You can unsubscribe from any newsletters we send you. To change email preferences, please contact us at dataprotection@ri.ac.uk. You can also unsubscribe by clicking on the link at the bottom of an email.
